Using the Help Documents

Updated on

General information on the application

If you are looking for general information on the application, click here for a quick tour of the basic features of the application. The quick tour describes how to log into the application, navigate through the windows, modify your user preferences, and generate reports. The quick tour also contains links to related documents that provide detailed information on specific topics, such as the Jobs Viewer and View Reports window.

The Version 7 help documents are organized into individual topics. Each topic covers a specific element or process within the application. Many of these topics include a list of procedural steps or explanations that can be expanded or collapsed in order to display only the steps that are relevant to your current task. Click the Expand drop-down button   next to a step to display the step details. Click the button again to hide the step details.

For example, click the Expand button at the end of this line to expand the text.

You can also use the Expand All icon at the top of the page to expand all of the procedural steps included in the current topic. When the steps are expanded, the icon changes to Collapse All and can be used to close all the procedural steps in the topic.

General information on a module

If you are looking for general information on a module (for example, the Utility Billing or Cash Receipts module), open a module overview document by clicking on a module in the Table of Contents to the left. The module overview documents provide a basic overview of the module and contains links to documents that contain more detailed information.

General information on how modules interface

If you would like a general overview of how the modules in the application interface with each other, open the Interface Diagram page. The Interface Diagram page displays a matrix of the modules and how they interface, including a brief description of the interface.

Flowchart diagrams

There are also flowchart diagrams on many of the module index pages that display how batch processes within modules interface with one another. For example, open the PO module index page to view how the processes in the PO module interact, and how purchase orders become AP module invoices. The flowchart diagrams represent how the batches and modules within the application interface at a process level, not at a work flow level (for example, the PO module flowchart does not include information about how purchase orders are approved within departments).

Help Documentation Icons

The Version 7 Help website displays a series of icons across the top of the open documentation topic.

  • The Expand All icon is used to expand all of the procedural steps included in the current topic. When the steps are expanded, the icon changes to Collapse All and can be used to close all the procedural steps in the topic.
    • You can also use the Expand drop-down or Collapse drop-down button next to a single step in the topic body to expand or collapse the step details for that single step.
  • The Print icon is used to print the document that displays in the window. Clicking this icon will create a printer friendly version of the document that does not contain the menu bar or extraneous graphics.
    • Only the steps that have been expanded with the Expand drop-down button will be printed. This allows you to avoid printing unnecessary steps. Click the Expand All icon before printing if you would like to include all of the topic steps in the printed topic.
  • The Navigate Previous and Navigate Next icons are used to navigate to the previous topic or the next topic in the help documents.

Help Documentation Navigation

The Version 7 Help site offers two primary methods for navigating through the help documents. The top drop-down menus - Getting Started, Modules, and Contact Us - are used to navigate the help topics by module. The Search bar is used to search the help documents by a specific term or set of terms.

  • Once a module is selected from the menu above, the help system will navigate to the landing page for that module. To the left of the landing page, you will see each process in the module you selected. Click on a process to see the items in the process. You can also use the breadcrumbs links above the open topic to return to the process or module level.
  • The Search function allows you to search for a specific term or set of terms. Type a term in the search field and press ENTER or click the magnifying glass button to search for the term. The results will display the document title and information about the document where the term was found. Results will be ranked by the frequency that the term appears in the document.
    • When you select a document, each section in the document that contains the search term will automatically be expanded.
    • To search for multiple terms, simply type in the terms in any order. The ranking system will still display the documents in order of search term frequency. To search for a specific phrase, such as "penalty fee", be sure to enclose the term in quotes.
