The Batch Month and Batch Year of a Computer Checks Batch

Batch Month and Batch Year – Determine the quarter and year a payroll check is posted to for reporting.

Journal Entry Date – Determines the fiscal period and fiscal year the payroll is expensed.

In most batch processes in the Springbrook application, the batch month and batch year of a batch process have no impact on reporting. In the Computer Checks process in the Payroll module, the batch month and batch year determine which quarter and year the payroll checks in the batch are posted to, including the YTD amounts that display on the payroll check stubs. For example, payroll checks in a Computer Checks batch with a Batch Month of 12 and Batch Year of 2018 will be posted to the fourth quarter of 2018. If the Batch Month is 01 and the Batch Year is 2019, the payroll checks in the Computer Checks batch will be posted to the first quarter of 2019. The batch month and batch year should generally equal the calendar month the check is being processed. 

The journal entry date of a Computer Checks batch (PR> Computer Checks> Calculate Payroll> Journal Entry Date field) determines the fiscal period and fiscal year that the payroll expense is recorded. For example, payroll checks in a Computer Checks batch with a Batch Month of 12, Batch Year of 2018, and a journal entry date of 01/05/19 will be posted to the fourth quarter of 2018 for quarterly reporting, but the payroll will be expensed in the first fiscal period of 2019 (if you are on a calendar fiscal year).
